DonorSnap Onsite with Card Reader

DonorSnap’s Responsive Forms can be accessed using an admin data entry interface that unlocks time saving features, perfect for in-person interactions with your supporters. Look up existing contacts in your database to pre-fill the form with their information. Use the card reader terminal from Stripe to tap/dip/swipe a payment instead of manually entering the card number.

Contact Lookup

The example form above shows the Responsive Form as your normal donors would see it, with the addition of the Onsite header bar. Click the magnifying glass icon to search for an existing contact. After you select the contact, the form will load all of the contact fields in the form automatically.

Stripe Card Reader / Terminal

DonorSnap Onsite is integrate with two Stripe terminals / card readers, which can be used in combination with any computer, PC, Mac, iPhone, Android, tablet, iPad, etc. There’s no need for any type of port or Bluetooth. Any device with a browser and connected to the internet will work. These Stripe card readers connect to the internet via WiFi (or ethernet cable using the optional dock).

Multiple devices can even share the same card reader, as long as they aren’t both sending transactions at the exact same time.

As it relates to DonorSnap, neither device is better than the other. Price, battery life and form factor are the only differences.

If you have purchased these devices from Stripe already, they should be compatible with the DonorSnap integration. If you purchased them from another system, and they have custom software installed on them, they may not work with DonorSnap.

Order a Stripe Card Reader / Terminal

To order a Stripe card reader go to: https://dashboard.stripe.com/terminal/shop. Choose one of the two options listed above, add the number you want to your cart, and check out.

Connect your Stripe Card Reader with your DonorSnap account

Now that you have your Stripe card reader in hand, power it on. It will need to connect to a WiFi network, then it will check for updates, and install any updates as needed. Once the updates have finished, you will see a screen saying “Register this reader” with a code of three words. Log in to your Stripe account using your computer and complete the following steps:

  1. Search for “Readers” at the top of your Stripe dashboard and then go to Terminal > Readers
  2. Click the Register Reader button
  3. Click the “+ Create Location” button
  4. Each reader must be assigned to a location, so give it a name and address and click the Done button at the bottom.
  5. Give the reader a name that you can use to recognize it. This is especially important if your organization will be using more that one card reader.
  6. Enter the Registration Code that appears on your card reader into the Registration Code box and click Done

Now your card reader is paired with your Stripe account and your DonorSnap account.

Using the Stripe Card Reader

Once you have registered your card reader, it is hassle free using it. There are no cords to connect or specific phones/tablets/compters that you have to use. Just make sure your card reader is powered on and connected to wifi.

  1. Login at https://onsite.donorsnap.com
  2. Select your donation form from the available forms list.
  3. At the top you will see the “Pay with Swipe” button at the top next to the name of your selected card reader. If you only have one card reader it will automatically select it. If you have multiple card readers you’ll have the option to choose which one you want.
  4. Fill out the form as you normally would, but do not fill out the credit card section
  5. Press the Pay with Swipe button
  6. The card reader will receive the information via the internet and display the total amount
  7. Tap or insert your card to complete the transaction
  8. The form will display your confirmation page when it is successful
  9. Click the back arrow to go back to your form for the next person in line

Important Troubleshooting Tips

Selected terminal offline: If the card reader is not turned on or connected to wifi and you try to pay with swipe, you’ll receive an error message “Selected terminal offnline.” Turn on the reader or connect it to wifi and then press the button again.

Multiple devices sharing one card reader: If you have multiple stations sharing a card reader, make sure you wait to click the Pay with Swipe button until the card reader has finished any existing transactions. If the card reader is waiting to swipe a card and a second form is submitted to it, the first one will be overridden, and the next tap/swipe will pay for the second transaction only.

Payment Failed or Canceled: If a card/phone payment fails or if you click the X on the card reader to cancel the transaction, your browser will return to the filled out form, however it cannot be submitted again. You’ll need to reload the page and fill it out again in order to try submitting payment another time.

Timeout from waiting too long: If you wait longer than 90 seconds, the spinner on the browser will return to the filled out form, but it can no longer be submitted. Press the X in the upper left corner of the card swiper to cancel the transaction. Do not tap/swipe payment, because it will process the transaction without coming back to DonorSnap. Reload the page and fill out the form again in order to continue.

How do I choose which WiFi network to connect to? The card reader chooses a wifi network when it is turned on. If the last network that it was connected to is not available, it will prompt you to choose a new available network.

What if my WiFi network goes down? If you lose connectivity while the card reader is on, the signal icon to the left of the battery icon will disappear. If the WiFi network comes back online, the card reader will automatically reconnect to it. If you click the Pay with Swipe button while the device is not connected to WiFi, you will receive a “Selected Terminal Offline” error message. If you need to connect the card reader to a different network, restart the device and then choose which network to connect to.
